Our Privacy Policy

The Volunteer Guild of Victoria Hospital (also known as The Guild) respects your privacy and is committed to protecting your personal information. This privacy policy will cover how we collect and use your information and keep it safe, how to withdraw your consent for its use, and how the law protects you and your personal information.  We are committed to following the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s anti-spam legislation (CASL).

Who We Are and What We Do

The Guild is a registered Canadian charity that operates for the sole purpose of providing support to Victoria General Hospital (also known as Victoria Hospital) in Winnipeg, Manitoba.  We provide funding for a variety of services, including medical equipment, patient comfort supplies, and scholarships for staff and student volunteers interested in advancing their healthcare education.  We have been in operation for 70 years.

What Personal Information Do We Collect?

If you sign up for our Guild newsletter through our website (http://vicguild.ca), then we will only collect and store your name and email address using a software program called MailChimp.  Information about MailChimp’s privacy practices can be found here:  https://mailchimp.com/about/security/

If you make a purchase through our website, the transaction will be processed by a software program called Automattic (operating as WooCommerce).  Information about Automattic’s privacy policy can be found here:  https://automattic.com/privacy/

If you donate through our website, then the transaction will be processed by an organization called CanadaHelps.  We will be advised of your donation for our financial records, and you can choose whether or not we receive your name, email and mailing address.  CanadaHelps will have access to additional information not shared with us, such as your credit card number.  Their Privacy Policy can be found here: https://www.canadahelps.org/en/privacy-policy/

If you purchase an online raffle ticket through our website, then the financial transaction will be processed by an organization called Rafflebox.   Rafflebox will have access to additional information not shared with us, such as your credit card number.  Rafflebox is certified by the Liquor, Gaming & Cannabis Authority of Manitoba, and their Privacy Policy can be found here:  https://rafflebox-docs.s3.ca-central-1.amazonaws.com/Rafflebox+Security+Commitment.pdf

How do we use your Personal Information?

In each of these scenarios we may add your name and email address to our Mailchimp database to be used solely to send you periodic newsletters about the Guild activities, to alert you to special events and sales, and to advise on funding opportunities.  For all donations and raffle ticket purchases, the Guild will also collect the donation amount and number of raffle tickets purchased for our financial records and for the administration of the raffle.

When we hold your personal information, it will be kept in strict confidence.  We do not rent, sell, or share personal information with other parties.  We will only use your personal information for the purposes for which we collected it or for reasons that are compatible with the original purpose. 

You can ask us to stop sending you messages by following the opt-out links on any of the emails you receive or by contacting us at any time. Should you opt-out, you can opt back in at any time by signing up through the website. 


How Do We Protect the Confidentiality and Security of Your Personal Information?

Within our organization, your information can only be accessed by a small number of people who will use the information for the purposes stated above, all of whom are trained in privacy practices. We employ up-to-date technological measures, including, but not limited to, the use of passwords and firewalls.

How Long Will We Retain Your Information?

We will retain your personal information for the minimum amount of time necessary to fulfil the purposes we collected it for, including satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal information for a longer period in the event of a complaint or a prospect of litigation.  We will delete all personal information should The Guild organization be dissolved.
